Closer link between room booking and events

Description

We should add 'warnings'/'help' around, for instance:
1) when creating an event, if the room is chosen, we should say that they should book it too (from inside the event).
2) the same thing as 1, but from general settings.
3) if booking a room with webcast/recording facilities, we should say that they must create an event and request webcast/recording, etc..

and more to discuss.

Having watched over the shoulder of someone trying to use Indico to use our services I notice that we are missing a few opportunities to make life easy for users. So here are my musings, perhaps some/all is already possible and I just am not using it correctly…

VC booking and support

  • In the room booking interface, which people often use first, there is a selection box for "VC" and for "assistance". If you select Vidyo, it doesn't make a Vidyo booking, in fact what effect does it have? You have to go to the VideoService? tab to make the booking.
  • In the VideoServices? tab, if you book Vidyo, it doesn't allow you to ask for VC assistance, because it allows free format room, with no forced association to a physically booked room

Room booking

  • In the general setting you can declare a room, but it doesn't make a link to a booking
  • In the mgmt area of an event, in the room booking tab, it lists existing bookings for you, but not for the room (and or time) that you've selected in the general tab – someone else may well have booked the room for a recurrent meeting for the year
  • What would be nice (*) would be if you book a VC, you can ask for VC support, and if you didn't say which room it prompts you to book or associate one. Equally if you book a room and say you will use VC then it prompts you to book a VC session and create an event to house it. This way we would join all our threads together.

When selecting a room in the general settings (or in creation time) we should display a message asking the user "Do you want to book this room?", with a link to the room booking interface.
