Description
When managing conference, we need to add a new label to each contribution, which match some committee defined criteria. Would it be possible to add such labels in addition to the #ID and to show them in the contribution as it appears in the timetable.

from Françoise:
Dear Indico Team and Dear Jose,
Thanks for the suggestion. It does indeed work but is not flexible enough.
I would like to be able to have this abstract field available as a tag that can be chosen in the creation of the notification template for acceptance, such that the authors are informed about it.
In addition, we would love to be able to see it on the timetable as one of the field seen in the screen mode, not only in the fully detailed view.
We understand that it is a big change to add this flexibility, but this would help us and maybe other conference organizers.
Thanks for any additional hints.
best regards

Dear Francoise,
Just to understand it a bit better. Is that different from the contribution type field? I mean, would you use the contribution type field for this case if we display it in the timetable? Maybe it is a totally different thing. Would you have a very simple real example so we can get a better idea? Thanks!
Regards,
Jose

From Fracoise:
Dear Jose,
Thanks for reply so quickly.
Attached are three snapshots.
1) contribution accepted and schedule. I have added the field: FINAL LABEL
2) this is how it appears in the program. You can see that the final label is not shown in the detail view of the timetable. it is visible in the detail view of the contribution. We would love to see this new tag in the green region, if possible next to the title.
3) in the detailed contribution, I can see the final labe and the contribution type. But in my case, i will have one single label per each contribution. So I can not create 800 types!
4) when I accept the abstract, I would have loved to have this field called final-label appearing in my options of tags, such that each participant receives in his acceptance notification the new label of his contribution.
I hope my examples are more clear.
What we did in 2012, is that i manually changed each title to include the new label. you can see the timetable of the conference
https://conferences.iaea.org/indico/conferenceTimeTable.py?confId=10#20121008
this is not a solution that i would like to re-apply, if there is an option.
I have to say that your suggestion so far is better than what I had before, but not ideal.
FYI: IAEA has agreed to try to work with indico for all its technical conferences for the next 2 years, such that we can test it on a larger scale. i am very happy about it.
Best regards

Dear Francoise,
I am sorry to bother you again. I understood what you wish, on the other hand, I would like to understand the use case. Just to see how your request fits in our software.
Each of those final labels, do they have any kind of relation with the sessions? it looks to me that they have. If so, you can already assign a code (label) to each session and you can choose the session (label) when you accept the abstract.
If it is not the case of the session code, please, could you let me know a little bit why those labels are necessary and how do they fit in the abstract reviewing process? When do you use them? what's the goal? etc.
Thank you very much in advance.
P.S. I am really happy that you will continue using Indico!

[from Françoise Mulhauser]
Dear Jose and team,
Thanks for taking the time with my request.
I understand that one part of our view and procedure is "historical" and may be updated. However, the possibility to give a new label is something that has some help for the full timetable of our conference.
Clearly, a part of the label is associated with the session. However, our session are often a mix of experimental and theoretical papers. We want to be able to differentiate them in the session.
The best example that I could find is in our FEC2012 conference (previous link) if you take session #18, on Wednesday at 14:00. The session name is the topic, plasma wall interactions, as given in the title. It is the 4th session with EX papers and the 3rd with TH paper.
The subtitle shows the EX4 & TH3. The session code EX/TH does not appear in the timetable. only for me in the list of contribution, so I can not use it to help the reader
When I go to the participant view of the time table, in detailed view, I only see the title and the presenter. By adding a new label (in my case manually at the beginning of the title), i can list them in the session and present them as TH or EX and with a clear order.
When participant are writing their proceeding, the code (e.g EX/2-1) is the resulting information that they use.
FYI, out of INDICO, I have create a full pdf file with the programme, abstracts, papers, & presentation, all interlinked. (see
http://www-naweb.iaea.org/napc/physics/FEC/FEC2012/html/proceedings.pdf) Therefore, I kind of need the additional label.
From our view, participants in big conference seem to look at presentation with session and number in certain sequential order. This is why we would love to be able to provide them with it. Clearly the ID# for the unique identification is not interesting, as it does not related the label/tag to anything meaningful (session/type/position).
If you look at another conference (using a different system), see http://www.nss-mic.org/2013/program/ListProgramDB.asp?session=N9, you will see that the numbering in session is one aspect that people tend to like.
This is our thoughts and explanation to the "why" of the label. I think that i understand the difficulties behind implementing that. However, if it is possible, we would love to have that option.
best regards
Francoise

Ok, I think I understood the need. Thank you so much for your explanation! :)
Best regards,
Jose
If you enable the Call for Abstracts, you can create new fields for abstracts (and in consequence contributions).
